What Are Provider Sourced Patients?

Provider sourced (PS) patients are patients that you source yourself through your own marketing, referrals, website, or professional networks - rather than patients referred through Berry Street's marketing channels.

We've created a custom booking flow for your practice that offers significant advantages:

  • Patients are automatically matched with one of your providers based on insurance and location

  • If no match, they're advised to reach out to you directly for cash pay options

  • All insurance and billing information is collected automatically

  • They book an appointment immediately (huge conversion increase vs. back-and-forth communication)

Two Methods for Adding Provider Sourced Patients

Method 1: Provider Sourced Booking Flow (Preferred)

When to use: This is the preferred method as it gathers all necessary information upfront and streamlines the process. Click here to see an example of what this booking flow looks like.

What happens:

  1. Patient fills out your custom booking flow

  2. System collects all patient information, insurance details, and billing information

  3. Patient books their initial appointment immediately as long as they're in an approved state and have an insurance company your team is in network with

  4. Patient is automatically added to Healthie as "provider sourced - insurance" group

  5. System queues them for an automatic benefit check

Important note: This flow only works for NEW patients whose email is not already in Healthie.

Method 2: Manually Add to Healthie

When to use: When you want to add a patient directly without them going through the booking flow first.

Steps to manually add a patient:

  1. Log into Healthie and navigate to "Clients" from the sidebar

  2. Click "Add Client" in the upper right corner

  3. Fill in the patient's first & last name and email address

  4. Set the client group to "provider sourced - insurance"

  5. Select "Do not send the client invite email"

  6. Click "Add client" at the bottom

What happens after manually adding:

  1. Patient receives a welcome email with login instructions

  2. Our system automatically requests their insurance information and date of birth (mimics the standard booking flow)

  3. Important: Make sure to also request that they complete their billing information

  4. Patient can then schedule their initial appointment

To send your Healthie booking link to a manually added patient:

  1. Navigate to "Calendar" in Healthie

  2. In the upper right corner, select "More"

  3. Select "Share and Embed"

  4. Uncheck "All Appointment Types"

  5. Select the "Initial Assessment - 90 Minutes (PS)" appointment type

  6. Select "Sharing Link"

  7. Select "Copy" to copy the link and share with your patient

Note: This Healthie booking link is different from your provider sourced booking flow link mentioned above.

Required Information for Provider Sourced Patients

To run a benefit check and bill insurance, we need the following for any provider sourced insurance patients:

Personal Information:

  • Full legal name

  • Date of birth

  • Email address

Insurance Information:

  • Insurance company name

  • Policy/member ID number

  • Group number

  • Subscriber information (if patient is not the subscriber)

  • Copy of insurance card (front and back)

Billing Information:

  • Credit card on file for copays/coinsurance and for no show/late cancellation fees

Client Group:

  • Patient must be in the "provider sourced - insurance" group in Healthie
