How Berry Street Sources Patients

When patients come to Berry Street, here's what happens:

  1. They typically find us through ads, social media, or online searches

  2. They enter our booking flow and tell us what they're looking for (visit reasons, state, insurance)

  3. We show them profiles of available providers (built from your profile form)

  4. They book an appointment

  5. In the backend, we run a benefit check

  6. We handle communications about insurance coverage and logistics

  7. At the first meeting, you meet them and create the clinical relationship

  8. From there, you take over the ongoing care

Patient Booking and Benefit Check Process

How patients enter Healthie:

  • Through Berry Street's booking flow (Berry Street sourced, process above)

  • Through your custom booking flow (provider sourced)

  • Manually entered by you

Automatic benefit check trigger: As long as we have your patient's name, date of birth, and insurance information our system automatically lines them up for a benefit check. Once we get coverage information, we add details to the patient's profile under "Insurance Eligibility" showing what they're covered for.

For Berry Street sourced patients:

  • Berry Street's booking flow collects visit reasons, insurance information, date of birth, and billing information automatically

  • Both provider and patient receive an email with insurance coverage details

For provider sourced patients:

  • If using your custom booking flow: Information is collected automatically

  • If manually adding to Healthie: You'll need to request the insurance info form, billing info form, and their date of birth, they can also complete this information through the Berry Street app

  • Only the provider assigned to their profile receives the insurance coverage email

  • Your team is responsible for communicating insurance benefits to the patient

Session Requirements for Insurance Billing

To bill insurance, we need three things after each session:

  1. Appointment status - Mark the appointment as complete/no show/etc

  2. Duration - Set the actual session duration

  3. Chart note - Complete documentation

Without these three elements, we cannot file claims for reimbursement.

Berry Street Provider Portal & AI Charting

All providers have access to our provider portal, which includes built-in AI charting that automatically gathers the session requirements needed for insurance billing.

How it works:

  • Conduct your session through the Berry Street provider portal

  • Take your own notes during the session

  • AI automatically generates a SOAP note alongside your notes

  • Session duration and appointment details are captured automatically

  • AI also generates an optional follow-up note that you can send to the patient through Healthie's chat (they will have access to this through the Berry Street app)

  • You can also optionally generate a meal plan to send out to the patient

Insurance Questions and Additional Coverage

If you have insurance questions: You can reply directly to the coverage email you receive.
