How Calendar Management Works
Our system looks for specific appointment type availability when booking appointments onto your calendar. Managing your availability is how you control who books with you and when.
Appointment Types
You'll need to set up availability on the following appointment types:
Initial Assessment - 90 Minutes
Purpose: For Berry Street sourced insurance patients
When to use it: Only set up availability here if you want to accept patients we source for you
Important: If you remove availability from this appointment type, you will not be bookable for Berry Street sourced patients
Auto-assigns to:
insuranceclient group
Initial Assessment - 90 Minutes (PS)
Purpose: For provider sourced insurance patients (patients you bring in yourself)
When to use it: This is what you'll use when scheduling your own patients for their initial session, this appointment type is required for your practice's custom booking flow to work - providers must have availability set up on this appointment type to show in your provider sourced booking link
Auto-assigns to:
provider sourced - insuranceclient group
Follow Up - 60 Minutes
Purpose: For all follow-up appointments, both Berry Street and provider sourced
Why it's critical: This is the default appointment type that shows up in the Berry Street app when existing patients attempt to book follow-ups with you
Setting Up Your Availability
To add availability in Healthie:
Navigate to "Calendar" from the sidebar
Select "Availability" above the calendar preview
Click "+ Add" in the upper right corner
Select "Weekly Availability"
Set your preferred days, start times, and end times
Choose the appropriate appointment type from the dropdown
Click "Add Weekly Availability"
Important Availability Guidelines
Minimum Time Blocks:
For 90-minute appointment types: Ensure at least 90 minutes of continuous time is available
For 60-minute appointment types: Ensure at least 60 minutes of continuous time is available
Availability blocks can overlap - this is normal and allows for flexibility in your schedule
Adjusting over time: As your schedule fills with existing patients, you can reduce initial assessment availability to leave more room for follow-up appointments.
