New User Tracking
We have the ability to provide you with a table to keep track of all clients in Healthie and where they stand with regard to our benefits check process. How to read the table:
'Policy on file' means whether they've submitted an insurance policy
'Age' is the clients calculated age based on their birthday - if this is anything above zero, it means we have their DOB to run a benefit check
'Credit Card (no if empty)' - if there's any value here it means there's a credit card on file
'Internal Status' refers to our own status that we assign. They are as follows:
0
Intake Not Started (missing details to run a benefit check)
1
Intake Complete (Needs review prior to benefit check)

Benefit Check (Awaiting benefit check)
5
Canceled - If the patient cancels or there is some other reason they canceled besides “no coverage” (in cases where they reached out to us to cancel, we'll try to loop your team in.)

Canceled No Coverage - In the case where the client has no nutritional benefit coverage with their plan. In cases like this our team will usually place in HOLD and let you know so that you can work with them to find the best path forward.

Confirmed ($0 out-of-pocket coverage / this triggers the auto email)

Hold (This is a blanket status we use for different issues that our CX team needs to follow up on. Its either there was an issue running a BC or there's patient responsibility. There should be some context in the 'Internal Notes')

ConfirmedPR - The client has been provided with their patient responsibility and confirmed that they'd like to move forward with the appointment.

ConfirmedPreAuth - The coverage is confirmed at $0 out-of-pocket but there is a pre-authorization required in order to use insurance.

Canceled - Insurance not accepted

Canceled - No providers on your team are in-network with this client's plan

Our system flags clients once they have a policy and their DOB in Healthie so if either of those are missing, it will sit in internal status 0.
Our benefit check and support team are working around the clock to run these as well as communicate back but using this, you should be able to see the most recent and accurate information.
